2. BucketYour Time

So to recap, keyone was tracking your time. So I hope that you have. Gone through the audit ofyour time over the last four to six weeks, and that you have been tracking yourtime in an ongoing manner so that you have some raw, real data to work with. Now that we are moving on to key number two, which is bucket your time.

Another way tosay it would be segment your time or set split your time in two blocks. So, andwalk through the simple, yet powerful process to help you better manage your timeand energy, uh, and of course productivity. So here's what you're going to donow that you have the data of where you're spending your time.

You need to kindof do a self-assessment on. How you feel about where you're spending your time.Do you like that? You're spending a lot of time watching Netflix. Do you likethat? You're spending a ton of time checking email. Do you enjoy being inmeetings? This is the kind of stuff that we're going to work through in thislesson.

So what I wantyou to do is I want you to get out a piece of paper. Um, and this is going to bethe action item for this lesson. We're going to jump right into it. Get out apiece of paper, um, open up your spreadsheet with your audit. And I want youto, you can either draw, draw three buckets. If you're more of an artist or youcan just draw three or four columns down the middle of the page and segment orbucket your time in that way.

So, what I wantyou to do is I want you to write in the first bucket, is it going to be calledor the first column segment is going to be called what I love to do. Okay. Soall of those tasks and activities and projects that you logged in your audit gothrough and put all of the ones that you love to do.

In the firstbucket in the first column, what do you love to do? Some people love meetings, put that in there. That's you, some people love hanging out with family. Somepeople love exercise. Some people love watching Netflix. Most people doprobably. Um, what do you love to do? Do you love tackling that?

Crazy complexspreadsheet for your work project. Put that in there, whatever energizes you toeven just think about whatever gets you up in the morning. Those are the typeof activities, tasks, projects that you need to put in that bucket. Number one, what do you love to do? All right. Take a few minutes to do that.

You can hitpause if you need to, um, just go through the complete log audit that you'vedone and place the things that you love to do in that first bucket.

All right. The secondbucket is what do I have to do? So there's what you love to do. And then whatyou have to do. No, you could love some of these things.

Uh, you couldhate some of these things, but you have to do them. Now. This could be some ofthe items in this bucket could be similar as the one in the first bucket. Um,try not to overlap too much, but what do you have to do could be mowing in theyard. Maybe you love mowing the yard. That's fine. Put it in both buckets.

Um, maybe. Youknow, paying your bills. Maybe you don't really like doing that, but you haveto so put all the items that you have to do in that bucket right now, the funone. What are the things that you do bucket number three? What are the thingsthat you did in the last few weeks, and then what you do on an ongoing basisthat you don't need to do?

Netflix would bea good example. Um, again, you may love Netflix, but you don't really need todo it. So add those items from your audit that you do, that you spent timedoing, but you don't really need to do. Now when it comes to work, this couldbe, well, I. Put together a large travel itinerary for my business partner orfor my executive.

And then Iprinted it out and I took it to Kinko's and I got a whole punch binder, fancycover on it. You know, you went over and above. Maybe there's a project, aslide presentation that you. You know, decided to do some fancy graphic designwork on it. Um, you probably didn't need to do it, but you did it.

So put thosethings that you did, but you maybe didn't have to do, um, in a bucket that'sbucket three. Now what kind of to go a little bit further in these buckets? AndI think bucket three probably is, um, Oh, you can do this really with any ofthem. But the idea is to kind of split these up or tag these, if you will, inthese buckets, um, with different tags, now, there could be an important andenergizing could be tagged one.

So these arethings that are very important for you to do, but they also energize you. Theyget you up in the morning and you get excited about 'em. Um, you really enjoyit. You know, it's energizing, it's important and energizing. Another tag forsome of these, um, tasks in your bucket could be important, but training.

So these arethings like paying the bills are important than maybe they dry drains you to dothat. Uh, you could tag important, but draining another tag would be notimportant, but energizing. Maybe there's something you like to do at work whereyou're, maybe you're a little OCD and you like to organize your desk a certainway.

Maybe I like togo a little bit too into the weeds with a certain spreadsheet, formulaprojects. It's not important, but it's really energizing. You really like to doit. Think about those things. Go through those. Items that are in the differentbuckets and tag them, um, not important, but energizing. All right.

The next tag isnot important and draining. This is kind of the one where you want to tag itwith something bright. Maybe a highlighter, neon green post it not importantand draining. So these are things that really drain the life out of you. Andthey're not really that important when you think about it.

So the idea ofthis kind of self-assessment is to go through everything that you're doing andfigure out what's important. Figure out what you love to do, figure out whatyou have to do. Figure out what's energizing, figure out what's draining. Um,and really, again, assign these tags, assign these weights, if you will, to,um, you can even rank them like one to ten one, I just would, you know, hate mylife when I'm doing it to 10, I will stay up till 2:00 AM doing this becauseit's my.

Life blood to dothis. Um, but you go through and you take it on a self assessment of all thesethings. Now, once you do this, you're going to start seeing, wow. You know, Ispend a lot of time doing things that I have to do that are draining and Idon't spend much time doing things that I love to do

this.
這個。

Is a key tofiguring out why you don't have any energy, why you're not producing and whyyou can't seem to manage your time

when you dothings that do not energize you, your to use the bucket analogy more further, you're going to, there's a hole in the bottom of your bucket. And you've got tofill, you've got a constant, it's a small hole, but you've got to constantlyfill that bucket with things that energize you. Otherwise, you're just going torun out.

So if you'reconstantly doing things that you have to do, um, but you hate, or that aredraining, that just really drain the life out of you. Uh, your buck is going tobe empty. Uh, you're going to burn out. You're not going to get stuff done. You're not going to have the energy. You're going to feel like you never havethe time.

Because it'sgoing to take longer too, because you're, you're lacking that motivation towork on these things because they're not energizing and exciting for you. So gothrough, do a self-assessment again, every single activity that you've done inthe last four to six weeks, assign them to that call on those buckets.

What you love todo, what you have to do, what you do, but you don't need to do. And then kindof assign tags to each one. Is it important and energizing? Is it important, but draining, is it not important, but energizing? Is it not important anddraining a good example of a not important, but energizing. It might be ahobby, you know, it's not important that you, you know, like to knit or thatyou like to build things with your hands that's that may not be important inthe grand scheme of things.

But it'senergizing to you. So that is important to you. And then with work again, theremay be things that aren't really on your job description, but you really enjoyit. And it's really energizing. Maybe you can figure out a way to talk withyour team about how you can actually get that on your job description.

So you're moreexcited about it. Um, So once you've done this, once you've gone through figureout what you love to do, figure out what you don't love to do, uh, figure outwhat you have to do, and then find those things. After you've tagged theseitems, find those tasks and projects specifically that are not important anddraining and figure out why the heck you're spending time on them.

If it's notimportant and it's draining. Quit spending time on it, um, to be blunt. Sothis, again, this, you may not even know until you do this step one, a key onetrack your time. And then now key to bucket your time. You may not know whatyou're doing. That is a waste of your time and it's training you until you dothis.

That's the wholepoint of this, the self-awareness that you're going to get going through thisexercise is going to. Really bring out those things that you're wasting timeon. Now, on the other side, you may have important things to do maybe for yourjob or for your responsibilities as a citizen, et cetera, but they're draining.

So what can youdo to either eliminate or offload some of those tasks that need to happen, butthey're draining. Maybe there's a team member that could help. Maybe you couldtrade projects with a team member because they like that type of work and youdon't, maybe you could outsource it to an expert so that they can get it donemuch quicker.

Uh, and youdon't have to be dealing with something that really drains you. Maybe you hirean assistant, maybe you hire a. You know, nanny to help with babysitting. Maybeyou hire a housekeeper once a month to clean your house so that you don't haveto do something that's, um, important, but just really drains the life out ofyou.

So again, untilyou tag and bucket your time bucket, the things that you're doing, you're notgoing to be able to. Make wise decisions on how to manage that. Um, and, andonce you bucket it, once you set aside these tags and then write out the, thesegments of your time then, and only then can you, you look at it objectivelyand say, okay, now I see where my energy is draining.

Now I see whereI need to focus my time too. Get re-energized. All right. Hopefully that helpsagain, bucket your time. Key number two, to reclaiming your time, energy andproductivity. I am going to talk about for key number three in the nextepisode, scheduling your time. So now that you have this self-assessment andthe self-awareness, we're going to talk about how you can proactively.
